COVID-19 Safety Policy – Working safely during the pandemic

Enhance is committed to providing a safe place of work for our clients and our workforce.

Cleaning and Sanitising

Enhance will carry out deep cleans of the premises as appropriate to the building and the needs of the occupants. Enhance also offers electrostatic spray sanitising either with chemical or microbial shield virucides. Microbial shield virucides form an invisible coating on all surfaces which last for one month. Regular cleaning of those surfaces does not affect this lifespan.

Updated Risk Assessment & Staff Training

Enhance has updated its Risk Assessments across all sites to include all necessary controls and safety measures related to COVID-19. Enhance has provided COSHH assessments for new cleaning products being introduced to site. Enhance will carry out COVID-19 training for all staff to ensure they are aware of the risk assessment and safety measures in place.

These will include:

  1. Social Distancing. Operatives must keep 2 metres apart whilst at work. If necessary shifts and work routines will be adjusted to facilitate this. Where this is not possible, operatives will work in fixed teams and will be instructed to work side-by-side or facing away from each other, rather than face-to-face.
  2. Good hygiene. Operatives must wash their hands at the start and end of each shift, washing for at least 20 seconds with soap and water. Operatives must use a hand sanitising gel if soap and water are not available. Operatives are instructed to avoid touching their face and to cover their nose and mouth with a tissue or their sleeve when coughing or sneezing.
  3. Operatives must use the personal protective equipment provided. This will include disposable gloves and a washable apron or tabard and, where necessary, a disposable or washable face mask.
  4. Cleaning and sanitising. Routines will focus on cleaning hard surfaces regularly, paying particular attention to frequent touch points.
  5. Recognising the symptoms. These may include high temperature, a persistent dry cough and difficulty breathing. Operatives are instructed to self-isolate if they feel unwell or if they or anyone in their household begins to show symptoms. Operatives are instructed to check isolation times and to seek online health advice at www.nhs.uk.

Use of PPE and Laundering or Safe Disposal

Operatives must wash their hands before putting on PPE and after removing PPE. Operatives must remove PPE with care, disposing safely of disposable items and bagging up aprons or tabards for laundering. Operatives must launder items in accordance with the manufacturer’s instructions, using the highest recommended temperature setting and drying items completely. Operatives will not shake dirty laundry, to minimise the possibility of dispersing virus through the air. Operatives will clean and disinfect anything used for transporting laundry or dispose of it safely

Cleaning Routines at Work

All hand contact points and high-risk areas will be cleaned using a combined cleaning and disinfectant product. This will include: washrooms, kitchens, reception areas, staff rest and eating areas and meeting rooms. Cleaning operatives will focus particular attention on frequent touch points including door handles, push plates, bannister rails, lift call buttons, light switches and taps.

Operatives will continue to use microfibre cloths and mops which will be laundered regularly or disposed of safely as appropriate.

Items that can’t be washed or laundered easily, for example carpets and upholstered furniture, will be steam cleaned. Items that are heavily contaminated with body fluids and cannot be cleaned by washing will be disposed of safely.

Vacuuming will be carried out using either a Numatic cylinder vacuum, Sebo upright brush vacuum or cordless Makita back pack vacuum. All of these perform highly in tests for dust particle retention.

Waste

Operatives will put all waste, including disposable PPE, cloths and tissues, into a plastic rubbish bag and tie this when full. Where there has been a known recent case of COVID-19 in the building, all waste bags will be placed inside a second bin bag (“double-bagging”) and then tied. Waste from an infected area may need to be stored for 72 hours before it is taken out for collection. If storage is not possible, then collection by a specialist clinical waste contractor will be required.

Meeting our Clients’ Changing Needs

Enhance will review all its cleaning routines in line with government guidelines. Enhance will also review the frequency of deep cleaning and specialist periodic cleaning tasks on each client site to ensure that we continue to meet our clients’ needs.

Corporate Social Responsibility (CSR)

At Enhance, corporate social responsibility (CSR) is a clear part of our management agenda. We understand the potential implications of our business activities, so we aim to make a positive contribution to our people, our clients, our suppliers and the environment in which we work.

As a company, we contribute to a number of charities, sometimes in association with our clients. Sandy Aird has completed the Three Peaks Challenge, British Gas Great London Swim, Oxfam Trailwalker and various other challenges to raise funds for well-deserved causes.

The majority of our work is carried out on business premises, so our teams have little contact with the general public. However, if our work does impact on the public, we take particular care to ensure local protocols are observed.

At the CSSA Awards in 2017 Enhance received a Special Commendation for its approach to Corporate Social Responsibility.

Quality

At Enhance, we provide the highest quality service and customer care. We are committed to:

  • Clearly determining and fulfilling customer expectations, and communicating the importance of this to all team members
  • Ensuring our services conform with all regulatory and statutory requirements
  • Reviewing, monitoring and measuring our service quality and customer satisfaction
  • Providing the appropriate resources to satisfy customer needs
  • Constantly seeking to develop and improve quality to enhance customer satisfaction

Our management team regularly reviews our processes to keep up to date with industry developments. A formal recorded monthly quality inspection is carried out on every single site so that we have auditable trails for referral. Where improvements can be made, in terms of processes or equipment, these are recorded and implemented across all sites. Our quality management system is audited externally on an annual basis through our BS EN ISO 9001:2008 accreditation.

Training

Our success is down to our people, their attitude and their competence. All cleaning operatives are fully trained in our company policies, work methods and procedures, as well as being trained on a more site-specific basis.

As well as induction training, we hold refresher tool box sessions on site for all our cleaning staff. These are held on a monthly basis, providing regular reminders not just on basic cleaning techniques but also to observe proper health and safety rules.

Every six months Enhance runs in-house Customer Service and Team Leadership Skills courses. These are carried out on a Saturday and targeted at our site supervisors and daytime staff who work on our clients sites every day and so frequently interact with our customers.

Enhance is accredited under the Human Focus health & safety scheme and as part of that all our supervisors and full time staff are registered on the schemes website and have to complete a range of on-line training.

We also pay for employees to enroll on externally recognized training courses. Over 25% of Enhance’s staff have completed vocational and externally recognized courses whilst in or employment.

Health & Safety

Enhance recognises its responsibility to provide a safe and healthy working environment for our staff and those who may be affected by our work.

Our complete Health and Safety system is OHSAS 18001 accredited. We are also approved under the Safe Contractor Scheme and under the Human Focus Scheme.

We exceed the requirements stipulated by all relevant legislation.

All employees receive full training, information and supervision to ensure they work in accordance to our Company Health & Safety Policy.

Thanks to the systems we have in place, our Health and Safety record is unblemished. However, we are still committed to improving where possible. An independent Chartered Safety and Health Consultant reviews our processes annually and keeps us up to date with new and pending Health and Safety regulations.

Environment

Enhance is committed to working in compliance with the necessary legal requirements including The Environmental Protection Act, 1990 and The Environment Act, 1995. In recognition of our environmental management system, we have BS EN ISO 14001:2004 accreditation.

Enhance regularly assesses the environmental impact of our commercial cleaning operations and continually look to improve by:

  • Minimising the production of waste
  • Minimising material and energy use
  • Promoting the use of recyclable and renewable materials
  • Reducing the quantity and range of chemicals used, using dilution systems and microfibre
  • Reducing the use of water and the emission of land and air pollutants
  • Controlling noise emissions from operations
  • Favouring suppliers who demonstrate sound environmental practices

All employees are trained on our green policies and adhere to our environmentally friendly cleaning practices.
